Q: How do I remove/delete/merge a Prospect Property?
A: Prospect Properties cannot be deleted by a user in Agentbox. To have a prospect property removed, please send an email to our Support Team at support@agentbox.com.au with the prospect property ID number.
Q: How do I print a list of prospect/related properties?
A: To print a list of prospect properties, conduct an advanced property search, select type: Prospect then enter search criteria e.g. suburb
Q: How do I relist a rental listing/clone a property?
A: Access the property card and change to status to offline from the General tab. Select icon Clone This Listing and complete the details to advise the system what details you would like cloned, then save. A new listing will be created with a new listing ID. This property will be created with the status Offline and will need to be made available once it is ready for marketing.
Note, you cannot clone a listing if the status is still set to available as the system will only allow for one available listing at a time.
Q: Can I change the status from Available to Settled?
A: To update a listing's status to exchanged/under contract or settled, an offer/contract must be first recorded, accepted and converted through the sales process. Once this has been completed, if exporting to the portals, listing statuses will be updated on all portals throughout the sales process (under contract, uncondiitional & settled).
Q: How do I delete property features that we don't use?
A: In the My Office section, click Edit Details then access System Configuration - Property Features. This allows you to filter which property features can be selected per property type when creating a new appraisal/listing. Rather than permanently deleting unwanted property features you are simply hiding them from view.
Q: What does 'Hidden Listing' mean on a listing card?
A: When this checkbox is ticked, the listing is hidden from display in Agentbox powered websites, automated property alerts, e-newsletters and stocklist reports (based on the search criteria). You are also able to filter for hidden listings via the Advanced Property Search.
Q: What does New Property/Development mean on a listing card?
A: *Domain & Real Estate portal only. When this is ticked it provides new Options next to the Domain option under 'Export to Portals'. This is for new property/developments only. Please speak to your Domain account manager for further information.
Q: What's the fastest way to log an enquiry?
A: Select the Quick Add tool (+) in the top right-hand corner. From here you can select Log Enquiry and complete the details.
Q: Why am I getting an error with dates in the offers and contracts tab?
A: Dates have to follow a logical order when being entered into the Offers and Contracts tab and should follow these rules:
1) Contract Date has to be ON/AFTER Offer Date.
2) Conditional Date has to be ON/AFTER Contract Date.
3) Unconditional Date has to be ON/AFTER Conditional Date.
4) Settled Date has to be AFTER Unconditional Date.
5) All dates except the Expected dates must be either today or in the past.
6) Expected Unconditional Date has to be in the future. The correct date can be used when the listing is changed to Unconditional.
7) Expected Settlement Date has to be in the future. The correct date can be used when the listing is changed to Settled.
As long as these rules are followed, there should not be any date issues.
Please keep in mind that the Offer Date cannot be changed after the listing has been made Conditional, Unconditional or Settled.
If the wrong Offer Date is used, please fall over the sale and process again.
Settled listings cannot be changed back into Unconditional or fallen over.
To fix wrongfully settled listings, please have a Master user submit a Client Change Request by clicking on the question mark icon found in the bottom-right corner of the screen. The Solutions team can assist with this request.
