Referrals
This article outlines how to configure, create and use the Internal Referrals feature.
The ‘Referrals Configuration’ System Configuration panel is accessible to Master Users and Users with the ‘Manage Office Configuration’ permission.
If Reapit PM Referrals is enabled, a default ‘Referral Recipient’ must be configured for the main office, and any referral received will be sent to this staff member unless an office-specific override has been set.
The referral types available are:
- Thinking of Selling (Internal)
- Thinking of Leasing (Internal)
- Exploring Finance Options (External)
- Other (Internal)
Referrals Configuration
For Inbound Referrals, a referral recipient will need to be configured for office-specific referrals.
For Outbound Referrals, a referral recipient will need to be configured. If a recipient is not available, Exploring Finance Options will not be available as a referral type when creating a referral.
- Click on My Office.
- Click on Edit Details.
- Select the System Config Tab.
- Select Referrals Configuration from the Configuration Option dropdown.
- Select the office you would like to configure from the Office dropdown.
- Select the default Staff Member who is to receive referrals directed to the office from the Referral Recipient dropdown.
- If Outbound Referrals is enabled, enter the email address of the Referral Recipient.
- Click on Save.

Creating a Referral
Creating a referral does not require any specific user permissions. However, the user must have access to the contact being referred. The contact must exist in the database to be referred.
- To create a referral, navigate to the menu on the top right corner and select + New Referral.
- Select the required referral type.
- Assign To will allow you to select a staff member or individual office for the referral. When the Referral Type is set to Exploring Finance Options, the Referral Recipient will automatically populate with the email address added in Referral Configuration.
- Search and select the Contact to be referred. For Internal Referrals, upon submission, the referee will be assigned full access to the contact record.
- Enter the related property's details. If a matching prospect property exists, attach it to the referral; otherwise, if no property exists, add the information to Referral Notes. Any additional information can also be added to Referral Notes.
- Click Submit to send the referral.

Notifications — Internal
- The referral assignee will receive an email notifying them of a new referral with associated property and contact details.

- If the assignee has push notifications enabled from the Mobile App, they will receive a notification and will be able to view the action and task from their device.

- The internal referral assignee will be granted access to the contact and property records and assigned a task to prompt them to make contact with the referral contact. A Task will appear on the referee's dashboard. Click to open.

- The Task will include the referral information, including any notes that were added. This is displayed in the Description. The task also Identifies the Contact and Property, if selected at the time of referral.

- A new opportunity is created against the listing. Click on the New Opportunity to view. The Opportunity includes the referral information, including any notes that were added. This is displayed in the Description. The opportunity also Identifies the Contact and Property.

- A note is placed against the Contact in the History section.

Notifications — External
- When a referral is submitted, the external referral recipient will receive an email notifying them of a new referral with associated property and contact details.

- A note is assigned to the contact reference that a referral took place.
