Unable to make a payment
The ledgers in the sales trust module are designed to work off a running ledger balance. This is to ensure that you are unable to put a ledger into a negative balance. When making a payment you will notice you have three balance options: opening balance, closing balance & available balance.
The Closing Balance must not go into negative, if it does you will receive the error advising "this transaction will cause a negative ledger balance" and you will be unable to make the payment. The first step is to check the 'Available Balance" If you receive this error as this can give you an indication as to why you cant make the payment.
If you know you have recently receipted funds into the ledger (cash or cheque) your first step should be to check if you have banked the receipted money. To do this search for the receipt and check the column Status.
If the status is 'Not Banked' proceed to complete the banking via Bank Receipts
If the receipt has been banked but the money was received via cheque the issue could be the "Clear In (day/s)". You are able to check the clearance day of the receipt by clicking on the edit icon, this will display the receipt details and clearance date
If you have completed the above steps but are still unable to make a payment due to the error "This transaction will cause a negative ledger balance" you will need to check the payment date you are using as the funds that you are trying to disburse may not be available in the ledger based on your payment date.
A common cause of this error is due to users trying to make a payment prior to a reversal date.
For Example, using the below ledger if I were to try an make a payment of $2500 using the date of 23/05/2017 the system would display an error "This transaction will cause a negative ledger balance $"
This is because the value in the balance column is $0.00 as of the 23/05/2017. If i were to use the date of 25/05/2017 for the payment i would be able to make the payment without any error as the value in the balance column is $2500.00 as of the 24/05/2017.
