Add Prospect Property



What is a Prospect Property?
 
A Prospect Property acts like a folder or master record for one specific address. There cannot be duplicated Prospect Properties. It is also the first time a property is normally created in Agentbox or it is automatically created when an appraisal/listing is created.
 
All prospect properties will remain active and searchable even after they have been converted to an Appraisal/Listing. All history related to that prospect property will remain attached to that property, for example,  the history of appraisals performed or missed and any successful listings/sales.
 
*Note: Prospect properties cannot be deleted by a user in Agentbox. To have a prospect property removed please send an email to our Support Team at support@agentbox.com.au with the prospect property ID number.  
 

Adding a Prospect Property via Properties 

1. Go to Properties from the main menu



 

2. Click on Add an Appraisal/Prospect property on the left property panel. if you are unable to see this button please contact a Master user in your office and get them to check your access permissions.
 


3. A pop up will appear, prompting you to select Add a Prospect Property.

 

 

4. A new Prospect Property card will appear, ready to be completed, starting with the Prospect tab.

 

 

5.  Prospect Property.

Enter in the Prospect Property information. 

 

Note: red asterisks * indicate a mandatory field to complete.

  • Status: Defaults to prospect. You can then change this status by selecting convert to appraisal from the drop down menu.
  • *Type: Form fields options will vary depending on if the property is for sale or a rental, this will copy if converted to an appraisal.
  • *Category: Form fields options will vary depending on the type chosen, this will copy if converted to an appraisal.
  • Property Name:  This will copy if converted to an appraisal.
  • Level No, Unit No, and Street No:  These will copy if converted to an appraisal.
  • *Street Name: This will copy if converted to an appraisal.
  • *Street Type: This will copy if converted to an appraisal.
  • *Suburb: Start typing the Suburb then select from the drop-down. This will copy if converted to an appraisal.
  • *State: This will auto-generate if the Suburb is selected. This will copy if converted to an appraisal.
  • Address Format: Once completed the above, this will pre-populate this section.
  • Tick to edit the address for your web display format:  This will adjust the address display on your website only if converted to an appraisal then a listing.
  • Google Map: You can also identify on Google Map swhere this address is, for internal information records only.

 


 

6. Prospect Info.

 

Note: red asterisks * indicate a mandatory field to complete.

  • Prospective Sale ($): You can enter a prospective sale price - numeric values only.
  • Prospective Lease ($): You can enter a prospective lease price, which you can identify by per week (pw), per month (pm) or per annum (pa) - numeric values only.
  • Last Sold Price($): This information will not carry across if converted to an appraisal - numeric values only.
  • Last Lease ($):  This information will not carry across if converted to an appraisal. You can identify by per week (pw), per month (pm) or per annum (pa) - numeric values only.
  • Last Sold Date:  You can identify the last sold date, this information will not carry across if converted to an appraisal.
  • Last Leased Date: You can identify the last sold date, this information will not carry across if converted to an appraisal.

 

 

7. Property Details.

All information here will be copied across if converted to an appraisal.

 

Note: red asterisks * indicate a mandatory field to complete.

  • Bedrooms/Bathrooms/Lounges/Toilets/Studies/Pools: Single numeric values only with no decimals, for example, 2, not 1.5.
  • Garages/Carports/Car Spaces: Single numeric values only with no decimals, for example, 2, not 1.5.
  • Total Parking: This will automatically accrue the number for Garages, Carports, and Car Spaces that were entered.
  • Land Size: You can elect in square metres (sqm), hectares, and acres in numeric values only. Optional text is also an option to include if you would like to add for example, 'approx.'.
  • Home Size: Must be entered in square metres (sqm) only - numeric values only.
  • Frontage: Muse be entered in metres (m) - numeric values only
  • External Area: Must be entered in square metres (sqm) only - numeric values only.
  • Construction: For example, brick.
  • Aspect: Select the aspect that the property is facing from the available options in the dropdown.
  • Energy Efficient Rating: Select the energy efficiency rating that the property has from the available options in the dropdown.

*Note: This is a mandatory field to complete for ACT-based offices.

  • Property built: You can enter the date when the property was built.
  • Property condition: Select the condition of the property from the available options in the dropdown.
  • Last renovated:  Enter the last renovated date for the property.
  • Legal Description: Legal description of the property.
  • Lot: If required, the Lot Number.
  • Deposited Plan (DP): If required, The DP number.
  • Volume: If required, the block number.
  • Folio: Free text area with character count.
  • Block: If required, the block number.
  • Section: If required, what section the property is in
  • Zoning: If required, what type of zoning the property has

8. *Check if this is a Tenanted Property.

All information will be copied across if converted to an appraisal.

 

Note: red asterisks * indicate a mandatory field to complete.

  • Type of Tenant: Identify the type of tenant, for example, Holiday, Long Term, Monthly.
  • Current Rent: Identify the current rent which you can identify by per week (pw), per month (pm) or per annum (pa) - numeric values only.
  • Lease Term: Identify the lease term.
  • Option Period: Free text field.
  • Lease Start Date: Select the date.
  • Lease End Date: Select the date.

 

 

 

9. Once completed, click Save & Proceed.

 

 

10. A second tab will appear, ready to be completed, named the Agents & Contacts tab.

 

 

11. Assign related Agents.

Select the Prospecting Agent role from drop-down, type the Agent name, and select from results.

 

 

12. Click Add, to insert as the selected agent.

 


 

13. Assign related Contacts.

Select role from drop down as either Owner, Owner Occupier or Owner Absentee.

 

Assignment contact class categories for owners:

  • Owner Occupier: If the owner is occupying the address.
  • Owner Absentee: If the owner is currently not living within the property, for example, if the property is being leased.
  • Owner: If you are unsure, you can simply assign as owner.

*Note: For the background of the three choices, if you attach the 'Owner' 'Owner Occupier' or 'Owner Absentee' to the prospect property, when this is converted to an appraisal the contact will automatically be assigned as the 'Prospective Vendor' and if the appraisal is converted to a listing the contact will automatically be attached to the listing as the 'Vendor'. 14. Type the Contacts name and select from results, and then proceed to click Add, to insert.

 

 

15. Once completed, click Finish.

 

 

16. You can now convert to an appraisal,  match contacts, add a note, add a meeting, add a task or activity schedule and create a letter using the action icons or view the communication history and conduct a CMA from the left panel.

 

*Note: The ‘Related Listings’ tab in each prospect property contains the appraisal/listing history and will not be displayed if there no data is present (No Appraisals performed etc).

 

 

 

Other ways to add a Prospect Property

Adding a Prospect via Contact Card

You can add a Prospect Property record via an existing contact card within your database by clicking on + Add As Property on the Contact Card tab of a Contact.

 

 

Adding a Prospect via the Universal Search Bar

You can add a Prospect Property via the Universal Search Bar within your database by clicking on the search bar, start typing in the address and click Add New Prospect.
