Prospector Create an Appraisal - CMA
* Note: If the prospect property already exists with this address in your database then you need to convert the prospect property to an appraisal.
1. Click Prospector from the main menu
2. From the left-hand panel select Not In Database
3. Enter the property address into the CoreLogic RD Data field
4. Select
5. From the search results, panel select Add to Database next to the property address
6. The Add Prospect window will appear. The information available has been pulled in from RP Data. Proceed to complete the ownership card - enter the information for the new contact starting with the category or we can search for an existing and add in their contact class ie Prospective Vendor
Due to Privacy Policies, we cannot add contact ownership information automatically from RP Data.
7. At the Next Step select appraisal and complete the required fields
The appraisal will appear in your Today Schedule on the due date
Reason for the appraisal, source, and classification can be customised by a master user in the system configuration settings
8. Assign To - only needs to be completed if you are a master user
9. Select Save & View Appraisal. You will now be redirected to the Appraisal record
10. Complete the General Appraisal Information
Status: Defaults to Appraisal. You can then change this status by selecting either listing presentation, convert to listing, or cancelled/missed from the drop-down menu.
For Sale/Rental: - Select from the drop-down menu, the form fields will adjust accordingly, this will copy if converted to a listing.
Type: *- Form fields options will vary depending on the status chosen, this will copy if converted to a listing.
Category: * - Form field options will vary depending on the status chosen, this will copy if converted to a listing.
Property Name: - This will copy if converted to a listing.
Level No. Unit No.: Street No.: - These will copy if converted to a listing.
Street Name: * - This will copy if converted to a listing.
Street Type: * - This will copy if converted to a listing.
Suburb: * - Start typing the Suburb then select from the dropdown. This will copy if converted to a listing.
State: * - This will auto-generate if the Suburb is selected. This will copy if converted to a listing.
Address Format: - Tick to edit the address for your web display format. - This will adjust the address display on your website only if converted to a listing.
Appraisal Info::
Price From($): - Numeric value only, the field can be used as variables in letter templates.
Price To($): - Numeric value only, the field can be used as variables in letter templates.
Appraisal Price($): * - Compulsory field for reporting purposes. Numeric Values only.
Appraisal Date: [Select Date] - Field can be used as variables in letter templates.
Appraisal Time: - Numeric value only, the field can be used as variables in letter templates.
Appraisal Source: - Internal reference and/or reporting Select from the drop-down, the field can be used as variables in letter templates
Appraisal For: - Internal reference and/or reporting Select from the drop-down, the field can be used as variables in letter templates
Property Condition: - Internal reference and/or reporting Select from the drop-down, the field can be used as variables in letter templates
Sale Method: - This will copy if converted to a listing, the field can be used as variables in letter templates
Reason for Appraisal: Internal reference and/or reporting Select from drop-down
Property Details:: *All information will be copied across if converted to a listing.
Bedrooms: - Single Numeric Values only (do not use decimals e.g 1.5)
Garages: - Single Numeric Values only (do not use decimals e.g 1.5)
Car Spaces: - Single Numeric Values only (do not use decimals e.g 1.5)
Bathrooms: - Single Numeric Values only (do not use decimals e.g 1.5)
Carports: - Single Numeric Values only (do not use decimals e.g 1.5)
Golf Buggy Spaces: - Single Numeric Values only (do not use decimals e.g 1.5)
Land Size: Area (sqm) - Numeric Values only
External Area: Area (sqm) - Numeric Values only
Home Size: Area (sqm) - Numeric Values only
Frontage: Metres (m) - Numeric Values only
Construction: e.g. Brick
Aspect: - Select from drop-down
Features: - Check all that apply
Tenanted?: * Check if this is a Tenanted Property
Tenanted Property:: *All information will be copied across if converted to a listing.
Type of Tenant: - Holiday, Long Term, Monthly...etc
Current Rent:- Numeric Values only
Lease Term: - Free text field
Option Period:- Free text field
Lease Start Date: - [Select Date]
Lease-End Date: - [Select Date]
Return %: - Numeric Values only
Annual Rent $: - Numeric Values only
11. Click Save and Proceed and assign any related contacts or agents.
- Select a role from the drop-down
- Type Agent name and select from results
- Click Add, to insert as selected agent
- To hide an agent from the website, Un-tick the checkbox next to their name in the Appear on Site box and hit save
*Note: for reporting and commissions it is important that all related agents are assigned to the property. The first Selected Agent box should contain an Appraisal Agent, Listing Agent, Selling Agent, and any referral agents by the end of the sales process.
6. Assign related Contacts
- Select a role from the drop-down
- Type Contacts name and select from results
- Click Add, to insert as related contact
*Note: If you attach the 'Prospective Vendor' to an appraisal when it is converted to a listing the contact will automatically be attached to the listing as the 'Vendor'. You do have the opportunity to prevent these from being carried across when changing the status.
7. Click Save & Proceed
8. Comparable Sales Tab - enter comparable properties manually or select CoreLogic RP Data button to bring through 5 recent sales/rentals - Please note this information will be carried across if converted to a listing
Type 5 property addresses into the required field and select from the drop-down
Click Ok to finish
9. The property address last sold date and price and property attributes will be pulled through from RP Data to Agentbox
10. Proceed to add any notes if applicable
11. Click Save & Proceed
12. Resources tab - upload any Resources if applicable
13. Click Save to Finish.
14. You can now start using all Property Action Icons or view the Communications History, Listing Details, Prospective Buyers, Activity Schedules, Modification Logs or Conduct a CMA from the left panel
