Email Property Documents

*Note: The contract will still be sent if the contact has 'Do Not Contact' via Email selected. Contacts with the 'Do Not Contact via Email' preference will still be excluded from all other individual and bulk email workflows.

 

 

 

 

1. From the Activity tab within the listing, click the 3 dots, and select Email Contract/Docs.

 

 

2. For Contacts with an Email Address present, select the relevant documents you would like to send, add any additional text to your email and select Send.

 

 

*Note: You will be able to select the Property Contract and any other document uploaded under Other in the Resources tab of the listing under Documents. These will be included in the email as links to download, not as attachments. 

If you have ticked the option "Set as private" when initially uploading the document into Agentbox, the document will not appear as an option to send out from the mobile app. 

 

3.  For contacts without an Email Address present, enter the missing email address, select the relevant documents you would like to send.

Upon sending, the email address will be saved to the contact record if an existing record is not found. 

 

 

4. If the email address entered belongs to an existing contact, select Send and save as an additional email if you wish to save the email address as a secondary email or Send without saving email address to proceed.

 

 

5. Once the email has been sent, the contact will be marked as a contract taken for this listing. 

 

 

6. A task will be automatically created for the following day, as a reminder to address the duplicate email used. 

 

 

*Note: We recommend updating/ merging contacts to avoid duplicate entries in the database. Click Here to access the article on how to merge contacts.
