Agentbox Post Listing Import Guide
This guide provides a simple, step-by-step process for Agentbox clients to update their property listings post-launch.
REA Import
All Sale and Rental Listings imported from REA need to be reviewed and updated within 7 days of the REA import.

Review the Available Listings (Sales & Rentals)

Review the Sold Listings

Off Market Listings need to be created (not imported from REA)
Filter the Pipeline
You can view the Office’s Pipeline, via adjusting filters in the top right corner of Agentbox. Adjust to Sale or Rental when applicable.
Note: If you can't find the listing in the pipeline, try using the search bar at the top of the screen.
1. Review the Available Listings
A. Assign related Agents
B. Assign related Contacts
C. Re-upload compliance documentation
D. Review / Add OFI times
E. Tick relevant Portals
F. Repeat steps A – E for all Listings (Sales & Rentals)
A. Assign related Agents
Only the lead Agent comes across as part of the REA import. If an additional Agent is required to be displayed online, you may need to add the additional Agent.

Click the Available Properties (in the Pipeline)

Click on the first Listing to be reviewed

Go to the Agents & Contacts tab

In Assign related Agents – add an additional Agent (if required)

Select the Role
-
Search for the Agent
-
Click Add

B. Assign related Contacts
Note: Vendors and landlords are not included in the REA import. They need to be manually added to the listing.

Go to the Agents & Contacts tab

In Assign related Contacts – add the Vendor/s

Select the Role (eg. Vendor or Landlord)

Search for the Contact
-
If the Contact is not in the database, Add a New Contact

Add the Contact to the Listing

C. Re-upload compliance documentation
Note: Compliance document do not come across as part of the REA import. Relevant compliance documentation will need to be added to the Listing.

Go to the Resources tab and select Documents

Upload your Agency Agreement

Upload your Property Contract and any other compliance documents (as per State requirements)

D. Review / Add OFI times
Review Listings with upcoming OFIs. Add a new OFI (if applicable).

Go to the OFI tab

Select the Open Date, Start time of the OFI, and the Duration

Click Add Open Times

E. Tick relevant portals
No portals will be selected as part of the REA import.
Select all portals you are currently advertising the Listing to. The listing in Agentbox will thereafter be matched against that Property on the respective portal/s.

In the Listing, Go to the General tab

Scroll to the bottom of the screen and select all relevant portals
Note: If any applicable portals are missing from your available list. Reach out to your point of contact at that portal, and advise them that you are now using Agentbox. They will need to send a Portal Feed Request to agentboxsupport@reapit.com
F. Repeat steps A – E for all Available Listings

Review all Sale Listings

Review all Rental Listings
2. Review the Sold Listings
Listings that are pending Settlement and have been imported from REA need to be reviewed and updated as required.
A. Assign related Agents / Assign related Contacts
B. Re-upload compliance documentation
C. Add the Purchaser / mark the Listing as Conditional or Unconditional
D. Repeat steps A – C for all sold listings.
Locating your Sold Listings
Conditional & Unconditional Listings are located in the Pipeline - alternatively, you can search for a sold listing via the Universal Search. (top middle).
A. Contacts & Agents
In the Listing, from the Agents & Contacts tab:

Add any additional Agents (as applicable)

Add the Vendor/s
B. Re-upload compliance documentation
From the Resources tab (via Documents)

Upload your Agency Agreement

Upload your Property Contract and any other compliance documents (as per State requirements)
C. Add the Purchaser / Mark the Listing as Sold
From the Offers & Contracts tab:

Add the accepted Offer & Purchaser

Select the Offer Date
-
Enter the Offer Price
-
Search for the Buyer & click Add

Click Add
-
Select Offer Accepted
-
Select the Accepted Date and click Yes
-
Select the applicable status - Under Contract or Unconditional

If the Listing is Under Contract
-
Enter the Contract Date
-
Adjust the Expected Unconditional Date (as applicable)

Adjust the Expected Settlement (as applicable)

Enter the agreed Deposit & Commission

Click Yes

If the Listing is Unconditional
-
Enter the Contract Date & Unconditional Date

Adjust the Expected Settlement (as applicable)

Enter the agreed Deposit & Commission

Click Yes

Review all Sold Listings
3 - Off Market Listings / Listings advertised only on Domain
Off-market listings and properties advertised only on Domain (or other alternate portals) will not be included in the REA import and will need to be created from scratch. You have 14 days to add and feed these listings to Domain so that Domain can match them to your existing listings without an additional listing fee.
