Microsoft 365 (With Exchange) / Google Workspace (Gmail) Sync

Agentbox offers a basic sync function for clients using Microsoft (Office) 365 (with an Exchange Plan) or Google Workspace (Gmail) as their productivity suite solution provider.
To activate this service, please submit this as a request directly to our Client Solutions Team via our Client Change Request Form
Please confirm which solution provider your office uses when submitting the request.
Once these details have been received, we will activate the applicable service and provide you with further instructions to complete the setup.
Please read the information below as a general guide to the sync functionality:
The sync function will allow you to view your Agentbox contacts, appointments, and tasks inside your Google Workspace (Gmail), or Microsoft (Office) 365 (with Exchange) account. You can also view these in a compatible email client that is connected to your Exchange account (e.g. Outlook), or a compatible mobile device connected to your Gmail/Exchange account (e.g tablet/smartphone). If using Outlook with a Gmail account, a third-party plug-in or Google Workspace Sync for Microsoft is required in order to view these entries in Outlook. In all cases, the record being synced (contact, appointment, task) must originate from Agentbox before it can be synced with your Gmail/Exchange account. This function is not designed to import Contacts, Appointments, or Tasks that originated from your Gmail/Exchange account into Agentbox.
*Note: When reading the below it is important to remember that the Contact, Calendar, or Task entry MUST originate in Agentbox. An entry that originates in Exchange/Gmail will not sync to Agentbox, even when two-way sync is enabled)
Contacts:
Users can specify what contacts they would like to sync by contact class, custom class and/or contacts the user is the primary owner of.
The following fields will sync to Exchange/Gmail. Modifications made to any of these fields via Exchange/Gmail will sync back to Agentbox if two-way sync is enabled.

-Address (Main only, not postal)
-Job Title

Calendars:
The following fields will sync to Exchange/Gmail. Modifications made to the following fields via Exchange/Gmail will sync back to Agentbox if two-way sync is enabled.
-Date/Time
-Headline
The following fields will also form part of the synced calendar entry, but modifications made to these via Exchange/Gmail will not sync back to Agentbox.
-Description
-Associated Contact(s) (Name, Email, Phone)
-Responsible Staff (Name, Email)
Calendar -> Task Entry (If “Add calendar entries for tasks” is ticked.)
The following fields will sync to Exchange/Gmail. Modifications made to the following fields via Exchange/Gmail will sync back to Agentbox if two-way sync is enabled.
- Date/Time
- Headline
The following fields will also form part of the synced task calendar entry, but modifications made to these via Exchange/Gmail will not sync back to Agentbox:
- Description
- Associated Contacts (Name, Email, Phone)
- Responsible Staff (Name, Email)
Calendar -> Appraisals/Presentations/Inspections (One Way only)
Appraisal:

Inspection:
- Type
- Date/Time

*Note: The listing must have status available to sync OFI times. The Auction details do not sync across.

Tasks
The following fields will sync to Exchange/Gmail. Modifications made to the following fields via Exchange/Gmail will sync back to Agentbox if two-way sync is enabled:
- Date/Time
- Headline
- Task Status (Complete/Incomplete)
The following fields will also form part of the synced task entry, but modifications made to these via Exchange/Gmail will NOT sync back to Agentbox:
- Description
- Associated Contacts (Name, Email, Phone)
- Responsible Staff (Name, Email)
