Staff Permissions

You can customise the selected permission level for staff members further using the permission check-boxes. If you click on the permission title a full description will appear, alternatively, a full list of descriptions is outlined below.
 

Communications

  • Bulk Email Merge (Buyer List) - Allows User to send Emails to Prospective Buyer/Tenant lists in bulk. The User will also require "Send Email" Permission as a pre-requisite
  • Bulk Email Merge (Contact List) - Allows User to send Emails to Contact lists in bulk. The User will also require "Send Email" Permission as a pre-requisite.
  • Bulk Email Merge (Property List) - Allows User to send Emails via Property lists in bulk. The User will also require "Send Email" Permission as a pre-requisite.
  • Bulk SMS Merge (Buyer List) - Allows User to send SMS Messages to Prospective Buyer/Tenant lists in bulk. The User will also require "Send SMS" Permission as a pre-requisite.
  • Bulk SMS Merge (Contact List) - Allows User to send SMS Messages to Contact lists in bulk. The User will also require "Send SMS" Permission as a pre-requisite.
  • Bulk SMS Merge (Property List) - Allows User to send SMS Messages via Property lists in bulk. The User will also require "Send SMS" Permission as a pre-requisite.
  • Send Bulk E-Newsletter - Allows User to create and send E-newsletters.
  • Send E-Newsletter - Allows User to create and send E-newsletters.
  • Send Email - Allows User to create and send Emails
  • Send on Behalf of All - Allows User to communicate on behalf of any other staff member or the office. Applies to all forms of communication which this User has permission to use (e.g. Emails, E-Newsletters, SMS & Mail Merges)
  • Send on Behalf of Office - Allows Users to communicate on behalf of any staff member within their associated Office (s) or the office itself. Note: Requires a multi-office/branch configuration. 
  • Send on Behalf of Team - Allows User to communicate on behalf of Team Members. Applies to all forms of communication which this User has permission to use (e.g. Emails, E-Newsletters, SMS & Mail Merges)
  • Send SMS - Allows User to create send SMS Messages. Please note initial set up is required. Please contact Agentbox Support to organise this.

Configuration

  • Manage Core Areas - Allows User to create, edit and delete core areas. 
  • Manage Office Configuration - Allows User to edit Office details and manage office-specific configurations for their associated Office(s). Does not allow the User to manage system-wide configurations.
  • Manage Office Income - Allows User to enter monthly income records on behalf of their associated offices
  • Manage Office SMS Credits - Based on SMS Credit Allocation Configuration. Individual User Configuration: Allows User to purchase SMS credits on behalf of any User within their Office/s or transfer credits between any Users within their Office/s (includes primary and additional Offices). Office-Wide Configuration: Allows User to purchase SMS Credits on behalf of their Office/s or transfer credits between their Office/s (Includes primary and additional Offices). System-Wide Configuration: Allows User to purchase SMS Credits to be shared by all Users of the system.
  • Manage Staff Members - Allows User to create, edit and delete Staff Members and manage system access for their primary and/or additional assigned office and the ability to add and remove the additional assigned office. A User with this permission will only be able to issue permissions to other Users at the same level or below their own access level.

Contacts

  • Access Contact Financial Info - Allows User to view & edit the Financial Information of any Contact for which they have Edit Access.

  • Add Custom Contact Classes - Allows User to create their own Custom Contact Classes (categories). Only Master Users can create custom classes on behalf of the entire office.

  • Add Staff to Contacts - Allows User to assign other staff members to any Contact for which they have Edit access.

  • Archive a Contact - Allows User to archive any Contact for which they have Edit access

  • Bulk Update Contacts - Allows User to access the bulk contact updating tools. Only MASTER users with this permission can access the bulk contact updating tools.

  • Create a Contact - Allows User to create a new Contact.

  • Download Contact CSV - Allows User to download a list of Contacts as a CSV file. The user can include any Contact that they are able to search & view. The default limit is 1,000 contacts per file. Contact Agentbox Support to increase this.

  • Contact Import - Allows users to manage contact CSV imports on behalf of all users in the database.

  • Edit a Contact - Allows User to edit the ‘Contact Card’ of Contacts for which they are ‘Primary Owner’ or have ‘Full Access’ to.

  • Edit All Contacts - Allows User to edit the ‘Contact Card’ of any Contact which they are able to search & view

  • Edit Contact Ownership - Allows User to change the ‘Primary Owner’ of any Contact for which they have Edit access. A Contact's current 'Primary Owner' can re-assign ownership without this permission.

  • Edit Team Contacts - Allows User to edit the ‘Contact Card’ of a Contact assigned to a Team Member

  • Merge Contacts - Allows User to 'Merge with Duplicate' via Contact Status dropdown. User with this permission can merge a contact for which they have edit access into ANY other contact in the database regardless of their access to that other contact

  • Remove Staff from Contacts - Allows User to remove other Staff members from any other Contact for which they have Edit access.

  • Search & View All Contacts - Allows User to search and view all Contacts in the database regardless of assignment. Without this permission, the user will only be able to search and view Contacts assigned to themselves or Team Members.

  • Search & View All Office Contacts - Allows users to view all contacts that are assigned to any staff member within their associated Primary office.

 

Leads Module 

  • Access All Leads - Allows User to view & convert all Leads including leads related to Listings outside of their Team(s)/Office(s)
  • Access All Office Leads - Allows User to view & convert Leads relating to any Listing within their associated Office(s).
  • Access Leads Module - Allows User to access the Leads module. By default the User can only view & convert Leads relating to their Listings or Team Listings
  • Delete Leads - Allows User to delete any Lead which they are able to access.

Miscellaneous

  • Add a Meeting - Allows User to add an Appointment/Meeting related to a Contact, Property or Staff Member. Meetings will appear in the relevant user's calendar.
  • Add a Note - Allows User to add a Note against a Contact or Property.
  • Create Media - Allows User to create Digital Print such as brochures & window cards
  • Manage Templates on Behalf of All - Allows User to Add & Edit Letter / Email / SMS / Activity Schedule Templates that are accessible to All Users. Without this permission, Users can only manage their own templates and team members' templates
  • View All History for All Contacts/Properties - Allows User to view all Notes, Tasks/Schedules, Appointments, E-Newsletters, SMS Messages, Emails, Letters, Media and Correspondence related to any Contacts or Properties which they are able to view. Without this permission, the user will only see the history created by / assigned to themselves or Team Members.
  • View All History for Assigned Contacts/Properties - Allows User to view all Notes, Tasks/Schedules, Appointments, E-Newsletters, SMS Messages, Emails, Letters, Media and Correspondence related to Contacts & Properties assigned to them or their Team members. Without this permission, the user will only see the history created by / assigned to themselves or Team Members.

Module

  • Access Franchise Reports - Allows User to view & submit Franchise Reports
  • Access Prospector - Allows User to access the Prospector Module (Prospector subscribers only)
  • Access Website Editor - Allows User to access the Content Management System to edit the website (Agentbox hosted Website).
  • Butn - Register Borrower Account - Allows user to register a new Butn borrower account on behalf of their associated Office(s).
  • Butn - Submit Transaction Requests - Allows user to submit Butn transactions requests using a Butn borrower account belonging to their associated Office(s).
  • Manage Agent Net Commission Payments - Allows User to submit Agent Net Commission Payment Reports on behalf of Agent’s that the User has access to report on behalf of.

Properties

  • Access Marketing Funds - Allows User to add / edit Marketing Funds/Expenses against any Appraisal/Listing for which they have Edit access.
  • Add Listing Photos/Floorplans - Allows User to upload photos and floorplans related to a Listing
  • Archive a Property - Allows User to archive any Property for which they have Edit access
  • Create New Listing - Allows User to create a new Listing directly & clone existing Listings. Without this permission, Users with "Edit a Listing" permission can only create a Listing via the Appraisal conversion workflow. Does not allow the User to create Projects/Developments. "Create New Project" Permission is required to create a Project/Development.
  • Create New Project - Allows User to create a new Project/Development.
  • Create New Property - Allows User to create a new Prospect Property or Appraisal. Regular users cannot create Listings, they must convert an Appraisal to a Listing. ‘Property Manager’, ‘Admin’ & ‘Master’ Users can also create Listings directly in addition to ‘Projects / Developments’
  • Delete Marketing Funds - Allows User to delete Marketing Funds/Expenses against any Appraisal/Listing for which they have Edit access.
  • Edit a Listing - Allows User to Edit Listings assigned to them or a Team Member. Allows User to convert an Appraisal to a Listing. Does not allow the User to edit details of a LIVE Listing (with the exception of OFI times) or change the status of a Listing. Without this permission, Users with ‘Edit a Property' Permission can only edit Prospect Properties & Appraisals/Presentations and cannot convert Appraisals to Listings.
  • Edit Live Listing Price – Allows users to update the price details of a live listing they have access to.
  • Edit a Project - Allows User to edit Projects/Developments assigned to them or a Team Member. Does not allow the User to add new child Listings/Lots to the Project/Development or clone additional child Listings/Lots (but does allow the User to associate an existing Listing with the Project/Development)." Create New Listing" Permission is required to add new child Listings/Lots or clone additional child Listings/Lots.
  • Edit a Property - Allows User to edit Properties assigned to them or a Team Member. Does not allow the user to edit details of a LIVE Listing (with the exception of OFI times) or change the status of a Listing.
  • Edit All Lease Listings - Allows User to edit any Lease Listing in the database regardless of assignment.
  • Edit All Office Lease Listings- Allows User to edit any Lease Listing within their Office/s regardless of assignment.
  • Edit All Office Projects - Allows User to edit any Project within their Office/s regardless of assignment.
  • Edit All Office Sale Listings- Allows User to edit any Sale Listing within their Office/s regardless of assignment.
  • Edit All Projects - Allows User to edit any Project in the database regardless of assignment.
  • Edit all Prospect Properties - Allows User to edit any Prospect Property in the database regardless of assignment.
  • Edit All Sale Listings - Allows User to edit any Sale Listing in the database regardless of assignment.
  • Edit Contract Status - Allows User to change the status of an offer/contract beyond the 'Offer Accepted' stage (e.g. Conditional, Unconditional, Settled, Fallen Over, etc) INCLUDING the ability to edit all details of that offer/contract.
  • Edit Listing Commission Allocation- Allows User to edit the Commission allocation (splits and deductions) against any Listing for which they have Edit access.
  • Edit Listing Portal Exports - Allows User to modify Portal Export options for Listings that they are able to edit.
  • Edit Listing Status - Allows User to edit any details of a LIVE Listing INCLUDING the ability to change the status of the Listing.
  • Edit Live Listing Documents - Allows User to add/edit/delete documents related to a LIVE Listing.
  • Edit Live Listing Links - Allows User to add/edit/delete external links related to a LIVE Listing.
  • Edit Live Listing Photos/Floorplans - Allows User to edit/delete photos and floorplans related to a LIVE Listing.
  • Edit Live Listings - Allows users to edit any details of a LIVE Listing. Does NOT allow the user to change the status of a Listing or update the price.
  • View All Live Listings - Allows users to view all details for any Live Listing in the database, regardless of assignment. Without this permission, Users can only view basic details of listings that they do not have access to Edit. Doesn't allow the user to update the price.

Reporting

  • Access Analytics Plus - Allows User access to view Analytics Plus report  
  • Report on Behalf of All - Allows User to run Reports on behalf of all Staff Members, all Teams and all Offices.
  • Report on Behalf of Office - Allows User to run Reports on behalf of all Staff Members & all Teams within their Office. 
  • Report on Behalf of Team  - Allows User to run Reports on behalf of all Staff Members within their Team(s). 

Tasks

  • Add a Task - Allows User to create a Task assigned to themselves or a Team Member. Users can view all team member's tasks.
  • Assign/Reassign Tasks to All - Allows User to assign Tasks to any other Staff Member regardless of Team.
  • Delete Assigned Tasks - Allows User to delete Tasks assigned to themselves or Team Members regardless of who created the task. Without this permission, users can only delete tasks created by themselves or by their Team Members.
  • Edit Team Tasks - Allows User to edit, complete, delete or re-assign Tasks created by or assigned to Team Members

Trust Module

  • Access Sales Trust - Allows User to access the Sales Trust module (Sales Trust subscribers only).
  • Trust - Edit Bank Accounts - Allows Users who can access the Sales Trust module to edit the options under the Settings: Bank Accounts tab. Without this permission, Sales Trust Users will not be able to access this tab.
  • Trust - Edit Global Configuration - Allows Users who can access the Sales Trust module to edit any of the options under the Settings: General, Transaction Reasons, Email Templates tabs. Without this permission, Sales Trust Users will not be able to access any of these options.
  • Trust – Access All Listings - Allows User to view/manage all Listings within the Trust Module. Users with this permission can view/manage IBD transactions for all listings, and view/manage Listing transactions for Trust Accounts they have access to. Without this permission, Users can only access Listings that belong to one of their associated Offices.
  • Trust – Access all Trust Accounts - Allows User to view/manage transactions for all Trust Accounts. Without this permission, Users can only access Trust Accounts that belong to one of their associated Offices.

 

*Notes:
All users that had the ‘Access Sales Trust’ permission have been granted access to both new permissions. User permissions can be adjusted via Staff Card > Access.

In a multi-office/branch configuration, 'Trust - Access All Trust Accounts' permission is also required to manage bank accounts for all offices. Without this permission, Users can only access bank accounts that belong to one of their associated Offices.

Sales Trust is an additional module that requires configuration to enable. Request more information via our Online Client Request Form.

  • Edit team member's Contacts (if ‘Edit Team Contacts’ permission assigned)
  • View team member's Properties
