Add/Edit Staff



*Note: Permissions may apply

 

You can add/edit as many staff members to Agentbox as required, however you can only issue individual access to the system based on your user limit outlined in your subscription. 

 

 

 

 

1. Click My Office from the main menu.

 

 

2. Click the Add button on the left panel and the staff card will appear.


 

3. Fill in the Staff details (any reference to 'website' below is only relevant if you have an Agentbox website and if they are dependent in the design of that website).

 

  • Status: - Office Use Only, if you change the status to deleted you can reassign all contacts, tasks and properties to another staff member
  • First Name: * - Public Display - Used on website, letters, e-newsletters etc
  • Last Name: * - Public Display - Used on website, letters, e-newsletters etc
  • Job Title: - Public Display - Used on website, letters, e-newsletters etc
  • Birthday: - Office Use Only
  • Start Date: - Office Use Only
  • Qualification: - Office Use Only
  • Team(s):- You can set up teams then assign staff to a team. If you are assigned to a team and have the correct sharing/editing permissions then you can view/edit fellow team members contacts and properties.
  • Specialist Areas:- Select and add suburbs. If you have suburb profiles designed into your website, this is how you can link them to your staff profile on the web. (Custom feature)
  • Core Area(s): - Prospector Module users only
  • License/Rego No.: - Office Use Only
  • Contact No.: - Public Display - Used on website, letters, e-newsletters etc
  • Mobile: - Optional Public Display - Used on website, letters, e-newsletters, SMS if set up etc
  • Email: * - Staff member must have their own email as this also acts as the staff members log in user name.
  • Company Name:- - Office Use Only
  • Home Address: - Office Use Only
  • Role: * -  The role is used for staff member searching, ordering on the website and in activity schedule templates
  • Employment Type: -  Office Use Only
  • License/Rego No.: - Office Use Only
  • Expiry Date: - Office Use Only
  • Corp Licence No.: - Office Use Only
  • Corp Licence Expiry:- Office Use Only
  • Agent Split %: - This is where you can enter an agents % split with the office for use in commissions.
  • Website Staff Profile: - Public Display - Used on website
  • Show on website: - Select what pages, if any, the staff member will show on your website.Whether or not their listings and testimonials will display on their staff profile if applicable and you can also hide the staff mobile from public display.
  • Agent Site Welcome Text: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Auction Playlist: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Blogger: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Facebook: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Linkedin: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Places Playlist: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Rss: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Skype: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Sold Playlist: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Testimonial Playlist: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Twitter: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Wordpress: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Youtube: - Custom field for Agentbox websites only. Please note you will need to submit a client change request to have this field activated.
  • Internal Comments: - Free text field only visible to MASTER users via the staff card.

 

4. Once completed, click Save and Proceed.

 

 

5. Upload staff photos.

*Note: If we host your website please refer to your guide for the best image sizes for staff photos. For CRM only clients please upload 480 x 480 pixel images. 

 

Step 1: Click Upload.

 


Step 2: Drag and Drop files from computer or click Select Files.

 

     

Step 3: Select the image you want to upload and click Open.

 


Step 4: Once the upload is complete, the upload panel will disappear and you will be directed back to the incomplete staff card displaying the selected photo


6. Save & Proceed.

 

 

7. Select a permission level from the drop-down and hit Save. You can customise the selected permission level further using the check-boxes. If you click on the permission title a full description will appear

*Note:  If Admin or Master access was issued further defaults can be applied. Click here to find out more!

 

             

8. Once Access has been allocated click Finish to complete the Staff Member Profile.

 

*Note: an email is sent to the agent using the email specified on the Staff Details tab with their username and password. To activate this password the user must click on the link in the email.

** Note: If you have reached your user limit, please submit a Client Change Request to have this limit increased. 

 

9. After you click Finish, the panel will refresh and will present you with 5 new tabs: Tasks, Contacts, Properties, Targets and Debits/Credits as well as the ability to configure Send From/Reply To Defaults for Master & Admin staff members

 


 

10. You can come in at any time and click on the Contacts tab to view contacts assigned to the staff member.

 

 

11. Click the Properties tab to view their related Properties.
