Q: How can I address a couple in a de facto relationship together in all communications?
A: Using the example Joseph and Mary: To include Mary on e-newsletters sent to Joseph you enter Joseph & Mary in the Salutation Field
To include Mary on all letters sent to Joseph you can customise the letterhead to always address Mr Joseph and Mrs Mary Smith using the Address To field or the Custom Letter Head.
Q: How do I add buyer/tenant requirements?
A: By adding buyer or tenant requirements to a contact in Agentbox you will be able to match the prospective buyer or tenant to suitable listings or subscribe and send them automatic property alerts. You can add multiple buyer/tenant requirements to a contact. To add requirements, access the contact card and select Add New Requirement within the Requirements tab of the contact card.
(For Example Mary would like to receive property alerts on all 3 bedroom houses in Copacobana under $1,400,000).
Q: How do I delete a Custom Class?
A: Please send an email with the name of the Custom Class to support@agentbox.com.au.
Q: How do I add related contacts?
A: 1 - If both contacts share communication/contact info e.g. you can reach either of them from a single email, mobile, phone or address then add them both in the same contact card using the primary contacts first and last name then using the salutation field to enter both contacts names
e.g. Salutation: John & Mary
First Name: John
Surname: Smith
Legal Name: John Henry Smith & Mary Jane Thomas
Address To: Mr J Smith & Ms M Thomas.
2 - If both contacts have different surnames or have their own unique contact info e.g. 2 mobile numbers you then create a related contact using the following steps. This is to help keep a clean database where your contacts are contactable separately e.g. in the case of a couple that has separated since your dealings with them.
Q: When would I add a related property to a contact?
Note, Related Properties ARE NOT listings that the contact has shown interest in as a buyer or tenant. To view these listings please refer to buyer/tenant activity.
Q: How do I add bank account details to a contact?
A: Search for your contact and open their contact card. Click the Add Financial Information button
- Enter their Tax File Number
- Bank Account Name
- Bank Account BSB
- Bank Account Number
Q: Why is Agentbox telling me my Contact's email address is invalid?
For all new contacts Agentbox performs an email validity test which checks whether the Domain name of the email address exists, for example hotmail.com, bigpond.net or agentbox.com.au.
If Agentbox recognises the Domain name is invalid, the contact will not be added. The contact will only be added if the email address is correct or a phone number is provided.
