Sales Trust: FAQs


 

 

Q: Can I reconcile and rollover mid month?

 

A: Users must only reconcile and rollover at the end of the month. Users can mark off transactions and print a summary at anytime but should only rollover at the EOM.

 

Q: Can I manage rental listings in the trust module?

 

A: Only commercial rental listings, not residential rental listings. Once you have submitted an offer in the Offers/Contracts tab, a ledger will be created so you can receipt and make payments against the listing. 

 

Q: Can you adjust the date of a receipt or a payment?

 

A: Once a transaction has been submitted you are unable to edit the transaction.

 

Q: Can you backdate banking?

 

A: Yes, you can backdate the banking as far back as one day after the last reconciliation or last banking record (whichever is more recent).

 

Q: Can you edit a banked date?

 

A: Once the banking has been confirmed you are unable to edit the banking date.

 

Q: Can you edit a cheque number?

 

A: Not after it has been submitted. Users can adjust the next cheque number for new payments via settings.

 

Q: Can I export the Sales Trust data to a CSV?

 

A: No, however, you can print reports as a PDF any time. 

 

Q: How do I back up the sales trust data?

 

A: Agentbox Infrastructure is hosted in Australian data centres. Backups are hosted in secondary Australian data centres. These backups include Sales Trust Data; however these backups are not accessible from within your system - they are maintained by Agentbox for disaster recovery purposes should the need arise to recover data. Agentbox maintains backups of all Sales Trust data on your behalf on a schedule which exceeds all state legislative minimum requirements. Should an additional backup be required, we recommend printing and/or saving sales trust reports to PDF. The Reports menu within the Sales Trust module allows you to access all reports required for Trust Account auditing

 

Q: How do I record a payment via BPAY

 

A: There is no option to select BPAY as payment type. You can record the payment as Direct Deposit and put any additional information in the comments field.

 

Q: Can I add multiple IBD accounts against a sale?

 

A: No, Agentbox supports one IBD account per offer/contract logged against a listing.

 

Q: Can I have one receipt per page?

 

A: Yes, a Master User will need to submit a Client Change Request to enable this functionality within your system.
