Leads Capture: FAQs



*Note: the following information is only applicable for offices that have the leads capture module activated in their system. If you would like to activate this module, please submit a Change Request through the Help Centre. 

 

Q: What contact class is assigned to enquiries?

 

A: Prospective Buyer (sale enquiries), Prospective Tenant (lease enquiries)

 

Q: Can requirements and subscriptions be applied all enquiries?

 

A: Yes, the system will apply the preferences set via My Office > System Config > Leads Capture 

 

Q: If an existing client has requirements applied, will the new enquiry requirements also be applied?

 

A: Yes, if the contact has for example sale requirements and they enquire on a for lease listing, these requirements will be added as an addition to the for sale requirements.

 

Q. Will Leads Capture append missing contact information to existing contacts? 

 

A. Yes. if contact information is missing it will add in the new information provided. If information already exists it will add a note to the contact with any conflicting information. Agents can then review and append the contact details. 
 

Q: If I add the capture email, will the agent still receive the email in their inbox?

A: Yes, the agent will still receive a copy of the enquiry via email.

Q: Can I capture enquiries from my own website?

.

A: In order for us to capture enquiries from a third party website, they will need to work with our API,. Please arrange for the best contact at your website host to complete the Agentbox Integrator Application form.

 

Q: Why is the lead itself is not assigned to anyone?


A: In the leads module, all agents who are attached to the listing (or any user that has 'access all leads' permission) will be able to view the lead.

When the 'lead' is converted to an 'enquiry' (or auto-processed), it will use the regular add enquiry rules to assign the contact to agents based on your office system configuration settings. 

If it is a NEW contact, and system config is set to assign new contacts via enquiry with 'primary owner' setting, this will go to the main listing agent as per web display order... all other agents will be assigned with the sys config setting for 'EXISTING` contacts (which is either Full Access or View Only).

 

Q: How do I update the Agentbox Capture Email Address into REA Agent Admin?

 

A: - Log into REA Agent Admin
- Navigate to ‘Your Profile’ and ‘Add/Edit Agents’
- Two email addresses need to be configured:

1) The Agent/Staff Member’s actual email address (e.g ‘john.smith@johnsrealestate.com.au’)
This is to ensure the agent continues to receive leads from realestate.com.au direct to their email address.

and a second email address, separated by a comma:

2) The ‘Office Capture Email’ e.g. ‘capture@johnsrealestate.agentboxmail.com.au’. 
Replace ‘johnsrealestate’ in this example with your office’s subdomain
Your subdomain is obtained from the URL used when accessing the web version of Agentbox.

 

This is to ensure leads from realestate.com.au are captured and populated into Agentbox.
 

For example, the final email address configured would be:
“john.smith@johnsrealestate.com.au, capture@johnsrealestate.agentboxmail.com.au”

 

Q: My office has Leads Capture enabled, how do I gain access?

 

A Master User can select the Access tab in your staff card, in the My Office section and select the tickbox under Permissions. The following options are available:

  • Access All Leads
  • Access All Office Leads
  • Access Leads Module
  • Delete Leads

 

Q: How can I communicate to the leads that have come into Leads Capture?

 

A: Once a lead has been converted to a contact card, you can select the lead from the Converted tab in the Leads Capture Module, which will open their contact card. From here you can send an email, SMS, E-Newsletter or a letter if the applicable details have been provided. 

 

Q: Can enquiries from Project properties be captured by Leads Capture and be sent to Agentbox?

A:  No. Not if exporting via the New Property/Development checkbox to the relevant New Homes / New Development Categories based on your subscription). However, If a listing within the project is exported to portals as a For Sale property like other individual listings then yes the leads capture integration works.

 

Q: How do I allocate what Lead Source in Agentbox is assigned to the enquiry created via Leads Capture?

 

A: Master Users can adjust what lead source is assigned to incoming leads via My Office > System Config > Leads Capture e.g. If the Lead is coming in from Domain you can assign the lead source to Domain.com.au or any other source you have created in the System Configuration - Advanced
