Agent Reports

Agent Net Commission Payments*

*Note: additional configuration required for this report, the Debit Credit Commission Module is required.

 

Submit an Agent Net Commission Payment report - per period - for each agent who has a commission profile containing:

- Net Commission to this Agent from all sales which were Settled in the reporting period AND any sales Settled in a previous period which have had any adjustments made in the reporting period.
- Plus / Minus - upon additional configuration - any recurring income/expenses specified in the Agent’s Commission Profile.
- Plus / Minus any ad-hoc debits/credits specified in the Agent’s debit/credits ledger.
- Less any shortfall from the previous period (if applicable).
- Total payment to Agent or debit to carry over to the next period.

Agent Net Commission Report

Displays commission figures for each agent including net commission (what the agent receives from the gross total commission).

Appraisal Accuracy Report

Displays a comparison between the appraisal price vs the selling price to produce an accuracy report. If no appraisal price is entered an accuracy reading is not displayed.

Appraisal Report

Displays a comparison of all appraisal details and whether each appraisal has been converted into a listing, cancelled or missed.

Appraisal Report (For Lease)

Displays a comparison of all appraisals for lease and whether each appraisal has been converted into a rental listing, cancelled or missed.

Auction Clearance

Displays all properties that went to Auction in the specified period. This report lists the number of properties for auction that each staff member has, how many sold at, before or after auction and converts this into a per day and total clearance ratio. These ratios are displayed as percentages.
The report also displays excluded properties, by which their auction date is in the period however has not passed, therefore the properties are still available and not included in the statistics. Users can also select the 'Include Archived Staff' checkbox option to include all active and archived staff where required.

Gross Commission Leaderboard Displays each Agent's Total Gross Commission (Written or Settled) within a specified period ordered from highest to lowest. User's with permission to 'Report on Behalf of' agents will be able to display the Top 5, 10, 25, 50 or 100 Agents ranked Highest to Lowest in the period based on Sales Written or Sales Settled.
Database Usage Report Displays database usage by user within a specified period. Includes how many contacts were added by the user (they can be assigned to someone else), contacts added with a mobile, email and street address, notes and tasks added, number of contacts modified, email, mobile and street address modified. Users can also tick the 'Include Archived Staff' checkbox option to include all active and archived staff where required..
Licence Expiry Report Reports on the Licence Expiry Dates of All Agents, or by Expiry Date, Staff Role etc. This report has the ability to filter by Employee vs Contractor type and Individual Licence vs Corporate Licence type.
List to Sell Clearance Shows properties listed in the specified period. The report lists the total properties listed, properties still on market, total sold and total not sold and calculates the total List:Sell clearance % for each agent. Users can also tick the 'Include Archived Staff' checkbox option to include all active and archived staff where required.
Performance Report Provides a printable summary of the performance tab.
Pipeline Monitor Comparison report listing the number of Prospects, Appraisals, Listing Presentations, Cancelled/Missed, Listed, On Market and Sold properties each staff member currently has or had in a specified date range. Users can also tick 'Include Archived Staff' checkbox option to include all active and archived staff where required.
Staff Members The Staff Members report provides an overview of all Active/Archived Staff Members, their current Access Level and Last Login.
Target Report Performance report comparing staff sales targets (manually entered in their staff card) with how many properties they have actually sold, new contacts created, appraisals, new listings and GCI. This report is also available from the performance tab by clicking on Gross Commission Target, No. of Listings Target or No. of Sales Target. Users can also tick the 'Include Archived Staff' checkbox option to include all active and archived staff where required.

Contact Reports

Appraisal / Listing Contacts

Displays all contacts relating to an appraisal property or listing, listing the contact's name, role relating to the property, contact details and all contact classes assigned to their contact card.

Bulk Actions

This report provides full audit history of all bulk actions performed on contacts (e.g. mass edits to contact classes, contact status, assigned staff & subscriptions).

Contact Anniversary

This report shows Contact's contact details, status, contact classes, assigned staff and associated 'anniversary date' for all contacts with an anniversary date, birthday or other custom defined contact anniversary dates in a period.

Contact Class Statistics

This report provides the total number of contacts currently in each Contact Class.  The Report can be filtered based on Contact First Created, Last Modified or Last Contact date in the selected date range with options to filter by Contact Status, Contact Source, Class Type (standard vs custom) & Agents.

Contact Created Report

Displays the number of contacts assigned to each staff member. Categorises the contacts into 8 categories: contacts created with just the contact details, existing contacts modified in the date range, contacts with notes added in the date range, contact details and buyer requirements added, total active contacts, active contacts with an email address, active contacts with buyer requirements and total contacts that have unsubscribed.

 

The fields "Total Active Contacts", "Total Active Contacts with Email", "Total Active Contacts with Search Requirements", "Total Contacts Unsubscribed" will pull through all contacts over all time.

The fields "Contacts Created", "Contacts Modified", "Contacts with Notes Added", "Contacts with Search Requirements Added" will be relevant to the dates entered.

Contact Source Report

Comparison report of where the contacts came from and how they found out about the office.

Contact Suburb Breakdown

An overview of where office or agent contacts live. This report can also be refined by contact class for example: buyer or vendor, providing insight into possible target areas.

Contact Unsubscribed Report

Lists the date, contact and specific subscription the contact has unsubscribed from. This displays contacts that have personally unsubscribed from office marketing material using the unsubscribe link in the e-newsletter.

CSV Downloaded Report

This report shows all contact exports per staff member in the period, the number of contacts and the sub totals per staff member. Master Users can also download an exact copy of the export file (for all new exports which occur from today onwards)
Reminder: the 'Download Contact CSV' permission can be removed from any User who should not have this ability.

Prospect Property Contacts

Displays all contacts relating to a prospect property, listing the contact's name, role relating to the property, contact details and all contact classes assigned to their contact card.

 

For Lease Reports

For Lease Reports

Commercial Lease Stock Report Allows searching of all commercial lease listings by conjunctional agent and provides a printable overview of all commercial lease properties that correspond with these search requirements. This report also allows you to change the status of a property straight from the report.
Days On Market (For Lease) Lists properties and the amount of days they have been on the market. The On Market date corresponds with the date the property was made available.
Detailed Commercial Leasing Analysis Report

This report details key dates, leased price $p.a and full commission breakdown by Agent for Commercial Lease Listings which are Under Contract, Unconditional & Settled.

Detailed Listings Report (For Lease) A complete overview of all rental property stock.
Leased Listings Displays a list of leased listings and their lease period as well as the staff member/s managing them.
No. Of Listings (For Lease) A summary of all rental property stock.

 

For Sale Reports

For Sale Reports

Agency Expiry Report Summary view of all properties with agency agreements expiring within the specified period.
All Current Listings Includes all Pending, Available, Conditional & Unconditional listings, key dates, listed price, sold price and approved marketing budget. Can be grouped & subtotalled by Listing Agent for an overview of each Agent’s pipeline in one report.
Auctions Booked This report shows all Auctions Booked in a period with Listing Address, Agents, Auction Date, Time, Venue & Auctioneer.
Auctions Status Report This report shows the Auction Results in a period with Listing Address, Listing ID, Auction Date, Time, Office  Agents, AListing Status, Advertised Sold Price, Actual Sold Price, Auction Result
Contract Conditions Due

This report shows all upcoming and overdue Contract Conditions for conditional contracts across the office or for particular agents. 
Filter by contract status, condition type, condition status or Agents associated with the Listing.

Days On Market (For Sale) How many days between the property went live (Available) to current date, or to either unconditional exchanged date (under contract date for QLD), or settled date. Need to check. Note: This count starts again if the property is changed from Available to Offline back to Available.
Detailed Listings Report (For Sale) A complete overview of all sales property stock.
Detailed Sales Analysis A detailed overview of all property details including commission figures. Can be grouped and sub-totalled by Agent Office and Agent.
Gross/Net Commission Report Displays a list of properties with their sold dates, sold price and corresponding Gross Commission % and amount.
No. of Listings (For Sale) A short summary of all listings for sale.
No. of Sales A short summary of all sold listings with their sold dates and sold price.
Offers and Contracts Summary of all listings with a current offer or contract. Displays the listing, current status, related agents and contacts, offer date, status and price and any conditions or inclusions.
Sales By Region

Displays the percentage of properties sold in each region.

Sales Summary Summary of listings, total price and total gross commission per property status.
Staged Commissions Payments Summary of  commission paid prior to settlement. 
Upcoming Settlements Summary view of all unconditionally exchanged properties with an expected settlement date within the specified date rang i.e. all sales awaiting settlement within the date range.
Upcoming Unconditional Sales Summary view of all conditionally exchanged properties with an expected unconditional date within the specified date range i.e. properties with cooling off periods ending within the date range.
 

General Reports

General Reports

Advertising Report Displays a list of marketing expenditures, corresponding property, supplier, supplier item, total cost and total expenses allocated to vendor, agent, office and unallocated. This report can be searched by related staff and date range and can be filtered by supplier and supplier items.
Appraisal/Listing Source Comparison report of where the appraisals/listings came from and how they found out about the office.
Buyer/Tenant Enquiry Source Comparison report of where the contacts came from and how they found out about the office.
Email Report Master Users can view the number of emails, e-newsletters or auto emails sent in a certain time frame. The report also provides a detailed list provided sent date, sender, email subject and the number of emails sent as well as email statistics. Email statistics list the email recipients, when each recipient opened the email, links clicked and emails bounced. Staff can view reports on their emails and e-newsletters sent. Only Master users can see the email analytics for ALL users and Admin can see emails they have created and sent.

Inspection Statistics (Appointment)

This report shows the total inspections by appointment, narrowed down by listing ID and address. 
Inspection Statistics (Open)  This report shows open inspection statistics. For example, Weekday Opens, Weekday Open Attendees, Weekend Opens, Weekend Open Attendees, Total Opens, Total Attendees and Listing Office. 
Key Register Report A summary of all properties that the office holds a key for and the corresponding key number.
Listing Activity Report Displays a list of properties with the total number of people who viewed the property online, sent an enquiry, attended an inspection, attended a repeat inspection, taken a contract or put an offer on the property within a specified date range.
Marketing Funds Summary Displays a marketing funds summary per property, listing approved budget, fund received, total expenses allocated to vendor, agent and office and resulting balance.
Open Inspection Statistics

This report provides the total number of open inspections held & attendees recorded in a date range by Listing.
In addition to the total figures, the report also provides the breakdown of total open inspections held & attendees recorded on weekdays vs weekends with the open to filter by For Sale / For Lease, Listing Status & Agents.

Print/Download History

This report shows a history of each users print and download actions performed within Agentbox. Master users have the ability to download a copy of what was printed/downloaded. 

SMS Credit Purchases

This report provides a summary of SMS credits purchased.

SMS Credit Audit  This report outlines the users' opening balance, amount, closing balance and description. 

SMS Credits Consumed

This report allows master users to view the total number of SMS credits consumed in a date period. The report can be filtered by office, staff member or team.

SMS History Number of SMS sent by each staff member, with a detailed overview including date, sender, SMS subject and number of SMS sent.
 

 

Stocklist Reports

Stocklist Reports

For Rent A list of all rental properties relating to the specified search requirements. This report includes the property photo and related agents details, ideal for issuing to prospective tenants.
For Sale A list of all sale properties relating to the specified search requirements. This report includes the property photo and related agents details, ideal for issuing to prospective buyers.
Internal Stocklist by Category An internal inventory of all properties relating to the specified search requirements. This report includes the main property photo, address, related agents and contacts, property details, outgoings and access details, search and display price and the tenancy details (where applicable).
Open Homes Report A list of all properties with inspections within the previous or upcoming 7, 14, 21 or 28 days.
