Add Appraisal Property
*Note: If the prospect property already exists with this address in your database then you can Convert the prospect property to an appraisal. If not and the contact already exists with this address in your database then you can quickly create the property straight from the contact card using the Add Contact Property button on the contact card.
1. Go to Properties from the main menu
2. Click Add and Appraisal/Prospect property on the left property panel
*Note: if you are unable to see this button please contact a Master user in your office and get them to check your permissions.
3. Select Add a Market Appraisal
4. Complete the General Appraisal Information.
5. Property to Appraise.
Enter in the Appraisal information.
Note: red asterisks * indicate a mandatory field to complete.
- Status: Defaults to Appraisal. You can then change this status by selecting either listing presentation, Convert to listing, or Cancelled/missed from the drop down menu.
- For Sale/Rental. Identify the type of appraisal.
- *Type: Form fields options will vary depending on if the property is for sale or a rental, this will copy if converted to an appraisal.
- *Category: Form fields options will vary depending on the type chosen, this will copy if converted to an appraisal.
- Property Name: This will copy if converted to an appraisal.
- Level No, Unit No, and Street No: These will copy if converted to an appraisal.
- *Street Name: This will copy if converted to an appraisal.
- *Street Type: This will copy if converted to an appraisal.
- *Suburb: Start typing the Suburb then select from the drop-down. This will copy if converted to an appraisal.
- *State: This will auto-generate if the Suburb is selected. This will copy if converted to an appraisal.
- Address Format: Once completed the above, this will pre-populate this section.
- Tick to edit the address for your web display format: This will adjust the address display on your website only if converted to an appraisal then a listing.
- Google Maps: You can also identify on Google Maps where this address is, for internal information records only.
6. Appraisal Info.
Enter in the Appraisal information.
Note: red asterisks * indicate a mandatory field to complete.
- Price From($): Numeric value only, field can be used as variables in letter templates.
- Price To($): Numeric value only, field can be used as variables in letter templates.
- Appraisal Price($): Compulsory field for reporting purposes. Numeric values only.
- Advertise Price: identify the advertised price. Numeric values only.
- *Appraisal Date: [Select Date] - Field can be used as variables in letter templates.
- *Appraisal Time: Numeric value only, field can be used as variables in letter templates.
- Appraisal Source: Internal reference and/or reporting Select from drop down, field can be used as variables in letter templates.
- Reason for Appraisal: Internal reference and/or reporting Select from drop-down.
- Appraisal For: Internal reference and/or reporting Select from drop down, field can be used as variables in letter templates.
- Classification: Choose from the options, based on the configurations options
- Source/ Motivation details: You can identify the source/motivation for the Appraisal.
- Sale Method: This will copy if converted to a listing, field can be used as variables in letter templates.
- Last Sold Price ($): This information will not carry across if converted to an appraisal - numeric values only.
- Last Sold Date: You can identify the last sold date, this information will not carry across if converted to an appraisal.
- Lease Potential ($): identify the lease potential - numeric values only.
- Return %: Identify the return percentage on the rental.
- Gross Comm: Identify the gross commission.
7. Property Details.
*All information will be copied across if converted to a listing.
Note: red asterisks * indicate a mandatory field to complete.
- Bedrooms/Bathrooms/Lounges/Toilets/Studies/Pools: Single numeric values only with no decimals, for example, 2, not 1.5.
- Garages/Carports/Car Spaces: Single numeric values only with no decimals, for example, 2, not 1.5.
- Total Parking: This will automatically accrue the number for Garages, Carports, and Car Spaces that were entered.
- Land Size: You can elect in square metres (sqm), hectares, and acres in numeric values only. Optional text is also an option to include if you would like to add for example, 'approx.'.
- Home Size: Must be entered in square metres (sqm) only - numeric values only.
- Frontage: Muse be entered in metres (m) - numeric values only
- External Area: Must be entered in square metres (sqm) only - numeric values only.
- Construction: For example, brick.
- Aspect: Select the aspect that the property is facing from the available options in the dropdown.
- Energy Efficient Rating: Select the energy efficiency rating that the property has from the available options in the dropdown.
*Note: This is a mandatory field to complete for ACT-based offices.
- Property built: You can enter the date when the property was built.
- Property condition: Select the condition of the property from the available options in the dropdown.
- Last renovated: Enter the last renovated date for the property.
- Legal Description: Legal description of the property.
- Lot: If required, the Lot Number.
- Deposited Plan (DP): If required, The DP number.
- Volume: If required, the block number.
- Folio: Free text area with character count.
- Block: If required, the block number.
- Section: If required, what section the property is in
- Zoning: If required, what type of zoning the property has
- Features: Check the features that apply to this property. Click here to learn more about Property Features configurations.
- *Check if this is a Tenanted Property.
If selected, the below options will expand to open:
- Type of Tenant: Identify the type of tenant, for example, Holiday, Long Term, Monthly.
- Current Rent: Identify the current rent which you can identify by per week (pw), per month (pm) or per annum (pa) - numeric values only.
- Lease Term: Identify the lease term.
- Option Period: Free text field.
- Lease Start Date: Select the date.
- Lease End Date: Select the date.
8. Other Comments.
- Appraisal Comments: Include any additional Appraisal Comments.
9. Click Save and Proceed.
10. Assign related Appraisal Agent.
Start typing the name of the Agent and select from results, and the proceed to click Add to insert as selected agent
Note: To hide an agent from the website, Un-tick the check box next to their name in the Appear on Site box.
11. Assign related Contacts and then Save & Proceed.
Select role from drop-down, such as Prospective Landlord. Start to type the Contacts name and select from results (if it is a new contact, the system will prompt you to Add a New Contact) and then proceed to click Add, to insert as related contact onto the Appraisal.
*Note: if you attach the 'Prospective Landlord' to the appraisal, when it is converted to a listing the contact will automatically be attached to the listing as the 'Landlord'. You do have the opportunity to prevent these from being carried across when changing the status.
**Note: for reporting and commissions it is important that all related agents are assigned to the property. The first Selected Agent box should contain an Appraisal Agent, Listing Agent, Selling Agent and any referral agents by the end of the sales process.
12. Comparables Sales.
Enter your Comparable sales, if applicable.
If you have the Prospector Module and an active Core Logic RP Data subscription connected to your system, you can click the CoreLogic RP Data icon to load comparable sales from RP Data instead.
13. Click Save & Proceed to upload any Resources, such as Property Photos, Floorplans, Documents and Links, if applicable.
14. Click Finish.
10. You can now start using all Property Action Icons or view the Communications History, Listing Details, Prospective Buyers, Activity Schedules, Modification Logs or Conduct a CMA from the left panel.
