Create Landlord Activity Report
1. Search for your Property and open the listing card.
*Note: A landlord needs to be assigned to the property in the Agents & Contacts tab to generate an Activity Report.
2. Click Inspections and Attendees on the left listing card panel and click the Activity Report button
*Note: if you can't see the matching left property panel, click Full View on the top right-hand corner of the property card.
3. Your Landlord Report will appear on the screen for editing.
*Note: The report will automatically populate data e.g. property photos, inspection feedback if it has been entered into the system previously.
If you would like to copy manually entered data from a previously created report for this listing, click the View Previous Reports icon in the top right-hand corner and select Clone Activity Report (this is for previous reports sent via email only). Your vendor report may have a different layout.
4. To edit photo, click on the main photo that is showing on the page and it will bring up an additional window for you to select a different photo
*Note: Changing the photo on the marketing will NOT change the order of the photos on the listing -
Click the Property Photo to select a different image, click Save to insert.
As you scroll down, you will be able to edit areas such as Activity Campaign Report and the report will show Activity Timeline
5. Click inside the red dotted lines of the Activity Report to open the section editor.
'Edit this section' box will appear.
*Note: If you would like to remove a field from the data, simply leave the field blank.
- To change the report title from the default (Activity Report), click inside the red dotted lines to open the section editor. Edit the Title field and click Save.
- The property address will be populated from the listing card
*Note: The fields below will automatically populate based on the information you have added against your listing e.g. Open homes, enquiries etc.
- Open Homes.
- Viewed by Appointment.
- Enquiries.
- Days on Market.
- Advertised Price.
- Internet Statistics (Max 4 lines, a separate section to expand on marketing can be added to page 2 of the report) *
- Marketing Snapshot.
- Contracts Issued.
- Offers.

6. Edit the information as required as click Save.
Feedback, Interest Levels, Enquiry Source Charts
These charts will only populate if price feedback, interest levels, and enquiry source data have been logged when adding your enquiries and inspections to a listing.
- To edit this data, return to the listing and click on Prospective Tenants on the left panel, then click Contacts/Follow Up and add/edit/delete as required.
- If no data is present e.g. no enquiry sources added, then the chart will not appear.
Once Data has been entered under the Prospective Tenants tab, go back to the Activity Report. The Activity report will refresh automatically with the new information entered.
Graphs will appear on the report with data that has been entered, depending on which boxes have been ticked in the Edit Report section.
For this Activity report - Price Feedback, Interest Levels and Enquiry Source have been selected.
The pricing percentage will be calculated depending on the option that has been selected when editing report details.
Example: For a listing with a Search Price of $800 and where the Price Feedback calculation is set to 5%, it will display the 2 options below:
Between $760 and $840
Below $760
The number of contacts who have provided feedback in each price range is now also totalled and displayed on the doughnut chart in addition to the percentage.
Activity Timeline
The activity timeline outlines the information that has been logged against the prospective tenant.
*Note: if no dates have been selected in Period From and Period to, all past inspection feedback will appear.
- If you would like to hide this section, click inside the red dotted lines of the Activity Report section above to open the content editor. Scroll down to Activity Timeline option and select 'None'
7. Now that your report is complete you can Preview or Save and Proceed.
If you select Save and Proceed, you will be directed to the next page which will allow you to send a copy of the report to the Landlord via email.
You will also have the options to Save the report or Print PDF if you do not wish to send as an email.
*Note: If you choose to Print PDF without saving, a copy will not be stored against the listing. Please also select to save.
8. Add recipient (Landlord) and add in email Subject and Message fields. The recipients' names will automatically be entered due to the merge field.
Click Save, to store a copy against the property which can be viewed under the View Previous Reports button at the top right-hand corner of the panel.
Once email Subject and Message fields have been completed press Send Now. This will send the email directly to the Landlord from the Agentbox system.
Once the report has been sent to the Landlord, this will be logged under the Communications History tab under the property listing card.
